1. Who we are
Full Turnout (“we,” “us,” or “our”) operates fullturnout.com, a volunteer management platform for sports leagues, robotics programs, and youth organizations. This policy explains how we collect, use, and protect personal information when you use our service.
2. Information we collect
Organization administrators
When you create an account, we collect your email address and any profile information you provide. We also collect billing information processed through Stripe — we never store payment card details directly.
Volunteers and families
Organizations add volunteer records containing names, email addresses, and phone numbers. Volunteers who sign up for shifts may provide their name and email. Volunteer portal access is granted via a unique link — no password is required.
Background check information
If an organization configures background check fields, volunteers may submit additional personal information (such as date of birth). Fields marked sensitive are encrypted at rest using AES-256-GCM encryption and are only accessible to authorized administrators of that organization.
Usage data
We collect standard server logs including IP addresses, browser types, and pages visited. This data is used for security monitoring and service improvement.
3. How we use your information
- To provide and operate the volunteer management service
- To send transactional emails such as signup confirmations, reminders, and verification letters
- To process payments for subscriptions and verification letters via Stripe
- To generate community service verification letters on request
- To monitor for abuse and maintain service security
- To improve the platform based on usage patterns
We do not sell personal information. We do not use volunteer data for advertising.
4. How we share your information
Within your organization: Administrators of your organization can view volunteer records, hour logs, and background check submissions that belong to their organization. Data is isolated per organization — one organization cannot access another’s data.
Service providers: We use Stripe for payment processing, Resend for transactional email, and Supabase for database and authentication. Each provider processes only the data necessary to deliver their service and is bound by their own privacy policies.
Verification letters: When a volunteer requests a verification letter, a summary of their hours and the letter content is included in an email. The letter’s verification URL is publicly accessible to allow third parties (NHS chapters, colleges, courts) to confirm authenticity.
Legal requirements: We may disclose information if required by law or to protect the rights and safety of our users or the public.
5. Data retention
We retain your data for as long as your account is active. If you close your account, we will delete your organization’s data within 90 days, except where retention is required by law or to resolve disputes. Issued verification letters and their verification records are retained indefinitely to support ongoing authenticity checks.
6. Your rights
You may request access to, correction of, or deletion of your personal information by contacting us at support@fullturnout.com. Organization administrators may also update or delete volunteer records directly through the dashboard.
If you are located in the European Economic Area or California, you have additional rights under GDPR and CCPA respectively, including the right to data portability and the right to opt out of certain data uses. Contact us to exercise these rights.
7. Security
All data is transmitted over HTTPS. Sensitive background check fields are encrypted at rest. Access to production systems is restricted to authorized personnel. We use Supabase row-level security policies to enforce data isolation between organizations.
8. Cookies
We use session cookies for authentication. We do not use third-party advertising or tracking cookies. No persistent tracking across other websites.
9. Changes to this policy
We may update this policy from time to time. We will notify active account holders of material changes by email. The effective date at the top of this page reflects the most recent revision.
